The Indonesian Forum for the Environment (HuMa) is a non-profit organization focused on legal reform and natural resources. We are looking for candidates for the position of Project Administration on a contract basis, with the following main duties:
- Carrying out project administration tasks and project secretariat/office administration for HuMa.
- Attending, taking attendance, documenting through photos, and keeping records of meetings: (1) monthly coordination meetings, (2) project activity preparation and reporting coordination meetings, (3) monthly monitoring and evaluation meetings with the HuMa team, BPDLH team, and relevant Ministry/Institution team every three months.
- Assisting the manager in creating work plans and budget plans for each project activity.
- Documenting all activities, work contract execution, procurement of goods and services, CV data, tax identification number (NPWP), bank data, and participant/personnel data involved in the activities.
- Recording all documents as referred to in points 3 and 4.
- Preparing and submitting project funding request forms.
- Making payments based on project funding request forms as per point 6.
- Participating in project activities such as traveling outside the city when necessary, assisting in administrative technicalities of project activities, and other tasks as instructed by the Project Manager.
- Creating project fund accountability reports.
- Assisting the Project Manager in narrative activity reports, quarterly reports, midterm reports, annual reports, and completing supporting documents.
- Assisting the financial administration staff in carrying out financial administrative tasks for programs and secretariat/office in North Maluku, including:
- Managing petty cash for routine secretariat financing and reporting.
- Assisting the project manager in preparing budget proposals for activities, administrative needs, and routine secretariat requirements.
- Assisting the project financial administration staff in financial transactions/payments.
- Assisting the project/program financial administration staff in completing transaction evidence and supporting documents.
- Recording, documenting, and maintaining project/office inventory items regularly.
